    Registration is Now Open for the 2019 AAO Conference!

    We are pleased to announce that the early bird registration for the Archives Association of Ontario (AAO) 2019 conference in Belleville, Ontario is now open! The theme of the conference is Unlocking the Vaults: Access, Outreach & Engagement. The conference will be held at Loyalist College, Belleville, from May 8 to May 10, 2019.

    The Program at a Glance is available on the conference website along with information about the pre-conference workshop, where to stay while in Belleville, social events and much more!

    For information about what is included in your registration and to register please visit the Conference Registration page. Early bird registration runs from March 1 to April 8, 2019. Registration will close on April 30.

    AAO Board of Directors Election - 2019 Nomination Process

    Nominations are currently being accepted for four (4) positions on the Board of Directors of the AAO. Each term will commence upon election at the AAO’s Annual General Meeting (AGM), to be held on May 11, 2019.

    Please note that the new positions of Secretary, Treasurer, and Web Administrator are contingent upon membership approval at the AGM.

    Volunteering as a Director on the AAO Board offers an invaluable professional development experience. It provides candidates with an opportunity to network with other professionals in the field, develop their leadership skills, and to apply their existing knowledge and skill set to the service of Ontario’s archival community.

    The positions that are currently open for nominations include:

    Vice-President/President Elect: Three-year term (May 2019 – May 2022)

    The Vice-President/President Elect (VP) serves as the deputy to the President, and provides assistance in all aspects of Board planning and policy decision-making. Along with the President, the VP may represent the AAO at meetings with the Association's stakeholders and within the broader Canadian archival community. Specific duties include:

    • Liaising with AAO Standing and Special Committees and/or Sub-committees thereof, and Special Interest Groups (SIGs);

    • Performing the duties of the President in cases of absence or inability; and

    • Supporting the President in providing general supervision of the operations of the AAO, its staff, and the secretariat office.

    The VP assumes the position of President in the second year of his or her term; and in the third year serves as a non-voting member of the Board in the capacity of Past President.

    Director Without Portfolio: Two-year term (May 2019 – May 2021)

    The Director Without Portfolio position provides assistance in the general governing of the affairs of the Association. Specific duties may therefore include:

    • Serving as a Board liaison to one or more of the Standing and Special Committees of the AAO, and/or Sub-committees thereof;

    • Participating fully in Board decision-making; and

    • Contribute to the development of Association policies, procedures and guidelines.

    Secretary/Treasurer: Two-year term (May 2019 – May 2021)

    The Secretary/Treasurer provides a key oversight function of the financial affairs and records management of the association. Specific duties include:

    (Secretary role):

    • Being acquainted with Roberts Rules of Order, and ensuring the Board follows these in its proceedings;

    • Ensuring that documentation for all Board meetings is compiled, posted to the AAO Google Drive, and shared with meeting participants in advance of each meeting, consulting with Board members as necessary to do so;

    • Taking and finalizing all Board meeting minutes, and ensuring that all decisions are motioned and recorded;

    • Circulating draft Board meeting minutes to meeting participants for review within two weeks following each meeting;

    • Entering decisions carried in the master Motions database;

    • Saving all approved Board meeting minutes on the Google Drive and ensuring public access to them via the AAO website;

    • Playing a lead role in efforts to maintain and update the written policies, procedures, guidelines and manuals of the Board; and

    • In collaboration with the AAO Office, ensuring that the records of the Association are properly filed and disposed of.

    (Treasurer role:)

    • Monitoring, on a monthly basis, the AAO's budget as prepared and managed on the Association's behalf by the AAO Office, and bringing issues regarding revenues or expenditures to the Board's attention as they arise;

    • Ensuring the Board's financial policies are being followed, or recommending actions where financial policy gaps persist;

    • In cooperation with the President, approving all expenses incurred by the Association and signing all cheques of the Association;  

    • Recommending the approval of the auditor (to be identified by the AAO Office) to the membership (to be ratified at each AGM);

    • Presenting to the membership (at each AGM) highlights of the annual audit prepared by the auditor; and

    • On behalf of the Board, working with the AAO Office to ensure that government compliance documents are filed with various government agencies as required.

    Web Administrator: Two-year term (May 2019 – May 2021)

    • Maintaining the association’s website and providing administrative support to AAO members seeking to add or update content.

    • Promotion of AAO events and news via the association’s social media accounts.

    • Assist the annual conference committee with the promotion and communication of the conference through the website and social media accounts.

    • Maintain policies related to the position.

    • Prepare monthly reports and complete a monthly tracking form on the use of the association’s social media accounts.

    Would you like to attend the 2019 AAO Conference in Belleville? Up to $650 in funding and free registration is available through the Shirley Spragge Bursary for students, new professionals, and archivists in financial need.

    The 2019 AAO Conference program follows the theme "Unlocking the Vaults: Access, Outreach & Engagement." Workshops, a reception, a banquet and other social events promise to make for a fantastic time! 

    Applications for the Shirley Spragge Bursary are now open. Applications close on March 8, 2019.

    To qualify you must be an AAO member and an Ontario resident, and be either:

    •  A student enrolled in a recognized archival program (must submit proof of enrollment), or
    •  A recent (1-3 years) graduate of a recognized archival program (must submit proof of program completion), or
    •  A practicing or volunteer archivist in financial need (must submit proof of employment or volunteering).

    The Shirley Spragge Bursary is adjudicated by the AAO Awards Committee. The successful applicant will be announced by the end of March. Interested applicants are required to fill in the bursary application available on the AAO website and demonstrate financial need, an interest in archives education and/or professional development, and confirmed intent to participate in the annual AAO conference.

    The Winter 2019 issue is now available for members

    This issue features up-to-the-minute AAO news and updates, a member spotlight interview with John Lund, a report by AAO Archeion Coordinator Lisa Snider on the recent Ontario Museum Association conference, and a profile of the Archives of Ontario's new exhibit, ANIMALIA. It also includes a piece by yours truly on Alice Munro's short story "Dulse" and the archival narratives of Grand Manan Island, NB.

    The still-fresh Winter 2018 issue is now available free to anyone.

    Greetings archival community of Ontario!

    You are invited to contribute to the 2018 edition of the Ontario Archival Accessions Register (OAAR). As in previous years, we are asking repositories to submit basic details on new accessions by completing the attached reporting form. We hope to continue building on the last two years’ surveys by encouraging even more institutions to participate, whether they are currently AAO members or not. The aim is to cast the net widely and capture the most comprehensive snapshot of archival collecting possible. We’re planning to use the three years’ worth of data to begin some analysis work on collecting patterns and trends, so the bigger the response rate the better.

    Please use the attached form to report material legally acquired by your institution in the calendar year 2018. Completed forms should be directed to: chairs@aao-archivists.ca  T

    The deadline to submit responses is Friday, March 15, 2019. The collected data will be made available on the AAO’s website during Archives Awareness Week in April.

    The nominations for the 2019 AAO Awards are now open!

    The Awards Committee is accepting nominations for the Alexander Fraser Award, the James J. Talman Award, and the new AAO Emerging Leaders Award, which are presented to individuals. The Committee is also accepting nominations for the Corporate and Institutional Awards which recognize archives, corporations and other organizations that have made significant contributions to the archival community in Ontario.

    Nomination period closes March 15th, 2019.

    The awards will be presented at the AAO Conference in Belleville from May 8-10, 2019.

AISA is a group that meets twice a year to discuss the opportunities and challenges inherent to our roles, learn from each other, and attend a workshop or bring in a special speaker.

    Dear AAO,

    Ah, the glories of late October. Waking up in total darkness in a warm bed and hitting the snooze button. Eating too many chocolate bars in the office on the day after Halloween. Laying awake till 2 AM hearing ghosts because you watched that terrifying Netflix show too close to bed. All totally non-specific, shared experiences of the season. But best of all - and definitely for everyone - reading the newest issue of Off the Record! 

    The new issue of OTR is now available for members. 

    This excellent issue includes AAO news and updates, a member spotlight interview with Liz Mayville, an article by AAO Archeion Coordinator Lisa Snider on bulk uploads, a reflection on a summer's work well done by Louise Curtis, a report on the new Reclaiming Shingwauk Hall exhibition by Krista McCracken, and an article on an exciting new way to process collections using speech recognition by Kathy Traynor. 

    All my thanks to these wonderful and talented contributors who make OTR such an engaging publication!
