Fall 2024 Archeion Conversations Series

Calling all AAO members: join the Archeion Coordinator for a Zoom training and conversation series every Tuesday at noon from Tuesday, October 8th to November 26th to learn and discuss a variety of topics about the AtoM platform and the Archeion service

Archeion is Ontario’s Archival Information Network - it is both a directory of Ontario archives institutions as well as a discovery portal for researchers to search across participating institutions’ archival descriptions. Archeion makes use of the Access to Memory (AtoM) archival description platform. 

This series will be relevant to any institution using AtoM, even if they do not participate in Archeion. Archives volunteers, interns, students, and new professionals are also encouraged to join - no AtoM or Archeion experience is required.

This conversation series will cover a variety of topics about the practicalities of publishing archival data to the web. The focus will be on using Archeion but the takeaways will be generally relevant to any archives institution publishing their data online. At each session, the AAO’s Archeion Coordinator, Kelli Babcock, will present for 20-45 minutes, depending on the topic, followed by a participatory activity or discussion time. Session takeaways may be added to the freely available Getting Started With Archeion training slide deck for future reference. Portions of the conversations series may also be recorded and uploaded to the AAO’s Youtube Archeion Playlist

All skill levels are welcome to learn about Archeion and AtoM. All active Archeion institutions are encouraged to attend. If your institution would like to renew your editor login for Archeion prior to the sessions, please email archeion@aao-archivists.ca.

About the Instructor:  Kelli Babcock has been the Digital Initiatives Librarian with the University of Toronto Libraries since 2013. At UTL she manages U of T's multi-repository AtoM service, Discover Archives, and digital collections service, Collections U of T, in collaboration with archivist and IT colleagues. Kelli has worked part time as the AAO's Archeion Coordinator since 2023. She served on the AAO Board as President over a decade ago. She was a member of the AtoM Foundation Roadmap Committee and currently participates as a member of the Joint US Canada AtoM User Group. Kelli graduated from McGill University with an MLIS, specialization in Archival Studies, in 2011.

Format: 20-45 minute presentation followed by participatory activity.

Recording: Portions of the presentation during the session may be recorded and added to the Archeion Youtube Playlist. Relevant discussion takeaways may be added to the Getting Started With Archeion training slide deck for all members’ future reference. Discussion portions of the sessions will not be recorded.

Registration: A minimum of 4 participants and a maximum of 25 participants may register for each lunch and learn. Institutional members can register three participants at the members rate. If you require additional time to prepare payment, please contact aao@aao-archivists.ca to set up an invoice.

Please note that each lunch & learn requires a minimum of 4 participants to have registered at least 1 week prior to the session. In case of cancellation, please consult the AAO’s cancellation policy.

Promoting your archives in Archeion - institutional profiles

This session will provide an overview of AtoM/Archeion entity types, including institutional profiles. We will explore how Archeion institutional profiles can increase the visibility of your institution through search engine optimization. You will learn how using Archeion can surface your institution in search engine results. Finally, we will review methods and suggested time estimates for maintaining your Archeion institutional profile and user accounts.

Adding archival descriptions + authorities to Archeion/AtoM - part 1 

This session will be good for beginners as we review AtoM/Archeion standards and Archeion manual data entry options for AtoM descriptions and authorities. We will also review multilingual features in AtoM. Even if you are an expert AtoM user you may want to join this session as it will conclude with a brief exploration of open AI and other tools that can assist in description data entry. The session will conclude with a review of methods and time estimates for adding data into AtoM/Archeion.

Bulk ingest into Archeion/AtoM - part 2 

This session will review AtoM/Archeion standards and bulk ingest options including tips for preparing multilingual bulk ingests in AtoM. We will explore open AI and other tools that can assist in bulk ingest and spreadsheet data normalization.

Archeion and the Ontario’s Archival Accessions Register (OAAR) - a proposed work flow

This session will review AtoM authority records and initiate conversation around how Archeion authority record contributions from across Ontario archives can support the Ontario Archival Accessions Register (OAAR). Time will be dedicated to discussing AtoM/Archeion authority record bulk import work flows into Archeion. We will discuss proposed work flows for institutions of all sizes to get support to submit their authorities to Archeion on an annual basis to continue populating Ontario’s accessions database within Archeion.

AtoM/Archeion & finding aids + digital objects 

This session will include review AtoM/Archeion finding aid and digital object features with a focus on institutions who use these features within Archeion. The session will be relevant to anyone with an AtoM instance to review best practices, including web accessibility considerations and discovery implications, when adding finding aids and digital objects into an AtoM instance. The session will conclude with a discussion of digital object hosting options.

Archeion, user experience, and outreach

This session will take a “train the trainers” approach for participants to discuss how institutions can support users in learning how to search using AtoM/Archeion. We will discuss and review AtoM/Archeion public documentation from institutions and user experience studies. Participants will explore access to public Archeion instruction materials, and other free AtoM instruction materials, for reuse within their own institution.

Using the Archeion service for funding applications & considering sustainability

Planning to apply for a grant? 

Join this session to learn about the Archeion service (its history, development, and future plans) to gain insight into how you can use Archeion within a funding proposal. If you do not use Archeion this session will also cover the dos and don’ts of applying for funding with regards to sustainability of one time only funds and web/technology long term maintenance. This session will also include freely available advocacy templates about Archeion for your reuse.
