Archeion, Ontario's Archival Information Network, is a publicly available, bilingual gateway to descriptions of archival records located in Ontario. There are currently over 20,000 descriptions available for searching and browsing. Archeion also provides contact information and locations of archives where documents can be accessed.

Archeion was built with funding from the Canadian Culture Online Program of Canadian Heritage, the Government of Ontario, Library and Archives Canada, the Ontario Trillium Foundation and the EMC Heritage Trust.

What does Archeion do?

Archeion brings together information about archival materials held all over Ontario. By contributing information to Archeion, archives allow researchers to easily discover their collections and to make connections between holdings of more than one hundred archival institutions across the province, saving them time and effort. Descriptions in Archeion are exposed to search engines like Google, which means that they are easily found even if researchers are unaware of the Archeion site.

How do I contribute information about my archives to Archeion?

Institutional members of the Archives Association of Ontario are eligible for inclusion in Archeion. Once you have joined the AAO, you will need to contact the Archeion Coordinator at to receive a username and password for Archeion. The Coordinator will create a basic page in Archeion for your institution and is available to give advice on how to create descriptions of archival materials within the site.

What sort of information does Archeion hold?

Archeion can hold full archival descriptions, right down to digitized images of the records. It can also hold audio and video files and PDF versions of full finding aids. Each institutional member of the AAO is provided with 1 gigabyte of free storage space on Archeion. That's enough for about 2,000 digital images.

Is there a manual for Archeion?

Yes! Archeion uses the AtoM (Access to Memory) platform for describing archive-holding institutions, archives creators and archives. You can download the Archeion manual in English or in French.

How does Archeion link up with other Canadian resources?

Descriptions in Archeion are regularly added to the national catalogue for archival descriptions, Archives Canada, a database managed by the Canadian Council of Archives.

    The AAO received funding through Library and Archives Canada's Documentary Heritage Communities Program to support the second phase of our Advancing Archeion project. This involves training AAO members in how to upload records to Archeion and increasing the total number of records in the system. The second phase of the project will run until March 31, 2017.

    In July, an Archeion Assistant was hired to do this work. However, the Archeion Assistant has resigned from the position. In order to meet the target goals and complete the project on time, our Archeion Coordinator, Lisa Snider, will be assuming the Archeion Assistant duties until March 31 of next year.

    A survey was sent out to all AAO members earlier this year to inquire if they would like training in how to upload records to Archeion. Lisa will be following up with all survey respondents who requested training. If you did not have a chance to respond to the survey, but you are interested in this training opportunity, please contact Lisa directly at and she will coordinate training with you.

    Please join us in welcoming the newest member of the AAO team! We are thrilled that the AAO received funding through Library and Archives Canada's Documentary Heritage Communities Program to hire an Archeion Assistant. This new position started on July 4 and will involve travel throughout Ontario to provide member training in how to use Archeion. It builds on the Advancing Archeion project that was initiated in January 2016 with the hiring of our first Archeion Assistant, Emily Chicorli. Her work has provided a guide for the second phase of the project, which will be completed by our new Archeion Assistant, Niloufar Ameli.

    Niloufar graduated with an MA from Ryerson University’s Preservation and Collections Management in 2015 where she gained hands on knowledge of archival practices, specializing in the care of film and photography collections. Her Master’s thesis was on the selection and implementation of systems managing archival, library, and museum collections.

    Niloufar currently works at Exhibition Place Records and Archives as a Records Clerk, and assists with the preservation of the audio visual collection at the Canadian Lesbian and Gay Archives as a Media Archivist Volunteer. She has previously worked at the Toronto International Film Festival’s Film Reference Library, and Exhibitions departments, the Archive of Modern Conflict, and the Archives of Ontario.

    The AAO is pleased to welcome our new Archeion Coordinator, Lisa Snider!​​

    Lisa was a web developer from 1996-2013, and transitioned to archives in 2009. She received her MLIS and MAS degrees from UBC SLAIS in 2013. She has worked as an archivist since 2010 in different archives, including: Brock University, UBC Digital Initiatives, The Harry Ransom Center at the University of Texas at Austin and the Canadian Museum for Human Rights. She has worked with every aspect of archival work, including the preservation and access of born digital and analog materials and has extensive experience working with AtoM.

    Lisa is the the new AABC BCANS Coordinator, ACA Representative on the CCA Canadian Committee on Archival Description and has been actively involved in the ACA and SAA. She was AABC Webmaster (2010-11), ACA Web Editor (2010-12) and SAA Visual Materials Section Webmaster (2009-1014). She has given many seminars, presentations, training sessions, workshops and webinars over the last 17 years to international audiences. Lisa is now the Senior Archival Consultant with Everything Archives, a company that specializes in helping archivists with born digital preservation and access to their analog and born digital materials.

    The AAO is seeking an enthusiastic and engaged archival professional to lead the growth and continued maintenance of Archeion as Ontario's archival information network. 

    As part of the national Archives Canada service, Archeion promotes access to and awareness of Ontario's documentary memory. The site electronically brings together the many diverse archival collections across the province to facilitate online searching and access to them through the use of the latest advances in open source software for archives. Archeion serves a diverse population of general and specialized researchers, including students, teachers, academics and genealogists. Participating institutions that submit descriptions to the site represent small, medium and large archival institutions from all sectors, including provincial and municipal government archives, university archives, religious archives, business archives and community archives.

    Position Duties

    Reporting to the AAO Board of Directors, the Archeion Coordinator will lead the ongoing development of Archeion on the AtoM platform as an online, multi-level, Rules for Archival Description- (RAD-) compliant provincial catalogue of archival holdings by delivering the following products and services:

    • Working with the AAO Board of Directors and the AAO Archives Advisor to encourage archival institutions to participate in  Archeion, preparing written articles, listserv reminders, presentations etc., that promote the benefits of Archeion to members of the public and the archivists who serve them;
    • Responding to queries from contributors to Archeion;
    • Overseeing the finding aids submitted by participating institutions to the Archeion site;
    • Conducting site visits and workshops for Archeion contributors on descriptive standards and AtoM software;
    • Assisting Archeion contributors with preparation and submission of their descriptions;
    • Reviewing submissions from participating archival institutions and ensuring that they are consistent with Archeion’s standards;
    • Maintaining the consistency of the authority files and taxonomies on the Archeion site;
    • Recording all activities undertaken and preparing regular status reports, including Archeion usage statistics;
    • Participating in meetings and presentations as required; and
    • Working in collaboration with the AAO Archives Advisor to provide other training, advice and assistance to AAO members.

    Hours & Remuneration

    The Archeion Coordinator is expected to perform duties under the contract on a part-time basis, for an average of 7.5 hours per day, three (3) days per week, for a period of 44 weeks, commencing by June 1, 2016, and ending on March 31, 2017 (with the possibility of contract renewal).

    Remuneration for the services of the Archeion Coordinator will be at a per diem rate of $172.90 (plus HST), supplemented by a monthly office stipend of $100 (plus HST) for Internet and telephone use.


    • Master’s degree in archival studies (or recognized equivalent or a combination of related education and experience);
    • Minimum three (3) years' experience in a professional archival capacity;
    • Experience using archival descriptive standards;
    • Experience and demonstrated proficiency in project management;
    • Demonstrated computer skills;
    • Ability to multi-task and prioritize;
    • Excellent verbal and written communication skills; and
    • Access to a high-speed Internet connection, computer hardware and an ability to work from home.

     Asset Qualifications

    • Fluency in English and French;
    • A valid driver's license;
    • Experience using AtoM software; 
    • Demonstrated involvement in the archival profession.

    I would like to take this opportunity to introduce you to Emily Chicorli, who assumed the role of Archeion Assistant for the Archives Association of Ontario (AAO) on January 4th. She will support the AAO’s Archeion Coordinator, Amanda Hill, in the ongoing development of Archeion as a core resource for archivists and end-users in Ontario, Canada and globally, by completing a number of deliverables for the Association.

    Emily is a graduate of the Master of Archival Studies program from the University of British Columbia (UBC) as of September 2015. She has worked at the Yukon Archives, UBC Library’s Digitization Centre, York University’s Clara Thomas Archives and Special Collections, and Markham Museum. Many of those positions involved working with the Access to Memory (AtoM) database and Archivematica. She also worked as a Research Assistant on the InterPARES Trust project’s Transnational Team that investigated issues surrounding the inviolability and extraterritoriality of records in international organizations that may be considering the adoption of cloud computing services in the foreseeable future. Emily was the Coordinator of the ACA UBC student chapter (2014-2015) and currently volunteers as an Archivist for the Canadian Slovenian Historical Society’s Archives.

    The Archives Association of Ontario (AAO) is seeking an experienced archival professional to help increase access to information about the archival holdings of institutions across Ontario and build public awareness of Archeion. Archeion is Ontario’s archival information network, part of the national Archives Canada service. Under the supervision of the Archeion Coordinator, the Archeion Assistant will be contracted to contribute to the ongoing development of Archeion as a core resource for archivists and end-users in Ontario, Canada and globally by delivering the following products and services:

    • Preparing and executing a communications strategy to guide AAO engagement with its members for the purposes of increasing contributions to Archeion
    • Completing a written gap analysis and needs assessment for the Archeion descriptive database, including recommendations for maximizing AAO members’ activity on Archeion and for promoting the database
    • Developing a preliminary 2016-2017 site visit schedule for delivering in-person Archeion support services (availability of these support services is contingent on future funding)
    • Updating and overseeing production of AAO promotional materials for Archeion
    • Consulting with the AAO Board of Directors, staff, and members by email and telephone for the purpose of completing the contract
    • Participating in meetings with the Archeion Coordinator and the AAO Board of Directors as required

    The goal of these deliverables is to complete planning to support subsequent delivery by the AAO of in-person Archeion support services to members in 2016-2017 (contingent on the receipt of future funding).

    The successful candidate will be hired on a part-time basis, working from home with some travel required for training and meetings, and must have a computer and internet access upon commencement of the contract. Remuneration will be offered at a rate of $20.00 per hour (including HST) for a maximum of 273 hours during the contract period of January 4, 2016, to March 31, 2016 (i.e., 13 weeks x 3 days/week x 7 hours/day). Travel will be reimbursed at established rates. This position may be renewed subject to available funding and successful completion of the stated deliverables.

    This month Archeion contributors have taken the total number of archival descriptions in the service to over 30,000. One of the finding aids which has helped us to pass that number is the Henri Nouwen fonds. In this post Gabrielle Earnshaw and Danielle Robichaud tell us more about the significance of this archive and why they wanted to share it using Archeion.

    Henri Nouwen fonds on Archeion

    Henri Nouwen (1932-1996) was a Dutch Catholic priest, professor and writer. After an academic career at Yale and Harvard, he spent the last 10 years of his life living at L’Arche Daybreak, a community for people with intellectual disabilities, in Richmond Hill, Ontario. Upon Nouwen’s death, records he deposited with the Yale Divinity School Library and those housed at L’Arche Daybreak were centralized and used to establish The Henri J.M. Nouwen Archives and Research Collection (Nouwen Archives) at the University of St. Michael’s College in the University of Toronto.

    It was important for us to create a presence for the Henri Nouwen fonds on Archeion because the themes of Nouwen’s professional output, his organizational affiliations and his lasting personal relationships are not only of wide appeal, but ones that have myriad Canadian and Ontario-based connections. In addition to draft manuscripts, correspondence, lecture notes, administrative files, graphic material, and sound and video recordings, the Nouwen fonds and associated research collections contain material relevant to researchers interested in Jean Vanier, the Canadian founder of L’Arche communities, and various people from Nouwen’s time at L’Arche Daybreak, including his Literary Executrix and writer, Sue Mosteller, CSJ, who sparked the writing of his bestseller The Return of the Prodigal Son about the biblical parable as depicted by the Dutch painter Rembrandt.

    As a small archives without a public facing description database, our contribution to Archeion was an important way to reach an audience we may have otherwise missed by relying on our website and more university-focused outreach efforts. Contributing to Archeion was part of a broader push to disseminate information about the Nouwen Archives to a wider online audience1 which has helped to increase the use and visibility of this important fonds.

    This week, The Sudbury Star features a story about a group of glass negatives which were found in the attic of an old house in the city. The negatives are now safely stored at the City of Greater Sudbury Archives, and the images from them are available through Archeion.

    With Archives Awareness Week almost upon us, now is a good time to take a look at your institution's Archeion page and see if it's looking presentable. To be specific:

    1. Are your contact details correct?
    2. Have you got your logo on the page?
    3. Are your opening hours displayed?
    If the answer to any of these questions is 'No' or 'Help!' then you can do one of two things:

    1. Log in into Archeion with your Archeion username and password, navigate to the page for your institution and make the changes yourself. (Note that your AAO website login is not the same as your Archeion one!)
    2. Email me at and tell me what you would like me to change or add.
    With the logos, there is space on your page for two types of image. The box on the left holds an image which is 270 pixels square. The space across the top can hold a banner of 800 by 300 pixels. The maximum file size in both cases is 256KB, and the files should be in .png format. To add logos just click the 'Edit theme' option at the bottom of the screen, after you have logged in. You can also change the background colour for your page (nothing too lurid, please!).
